Adding a field to a document

Not all document types allow the addition of index fields. If a document type prohibits the addition of index fields, the button prism_archive_hinzufugen_icon.png Add field will be grayed out.

Which index fields are available for a document is determined by the document type on which the document is based. For example, the index fields "Invoice type" and "Invoice date" can be defined for the document type "Invoice." If a document is not based on a document type, there will not be any index fields available.

The fields added can be either free or pre-defined. If a document is based on a document type, this document type will control which of the two options is available.

Adding a free field

If the document type allows the creation of free index fields, you can add one. When adding a free field, define the name and the field type.

  1. Open a document.

  2. Click on prism_archive_hinzufugen_icon.png Add field.

    ➣ The Fields dialog will open.

  3. Enter a name for the field in the Field name field.

    In the field name, the following characters are permitted:

    • Numbers

    • Letters in upper and lower case, including those with umlauts

    • Underscore (_)

  4. Select one of the following field types from the drop-down list Type:

    • Text

    • Integer

    • Value

    • Yes / No

    • Date

  5. Click Confirm.

    ➤ The field has now been added. You can enter a value for the field.

Adding a pre-defined field

If the document type allows the addition of pre-defined index fields, you can add one. The name and the type of a pre-defined field cannot be changed.

  1. Open a document.

  2. Click on prism_archive_hinzufugen_icon.png Add field.

    ➣ The Fields dialog will open.

  3. Select a pre-defined field from the drop-down list Field name.

    ➣ The Type field has now been filled automatically.

  4. Click Confirm.

    ➤ The field has now been added. You can enter a value for the field.
