The "Document view" Tab
In the Document view area, the documents are displayed in a tree structure. The tree structure starts at the root level with the batch that forms the bracket around one or more documents. The documents are located below the batch level.
A new batch will always consist of two nodes, the first being the batch itself, and the second being the empty document. Indexing with an indexing mask takes place at the document level.
Technically, a document that only consists of index data is a valid data set and can be transferred to xSuite Interface. In practice, however, one or more file attachments are usually added to a document. These file attachments represent the actual objects that are to be processed. If the user attempts to transfer a document without file attachments, a corresponding confirmation prompt will be displayed.
Buttons
The following buttons are available in the document view toolbar:
Button | Description | |
|---|---|---|
| Activates/deactivates a mode for multiple selection of documents and files. In the Web Scan and the Stack Organizer, individual pages can also be selected and, with the button that appears, deleted as well. | |
| Inserts a new document that is empty, placed after the document currently selected. If no document is selected, the empty document will be inserted at the beginning of the batch. | |
| Opens a dialog to select the file, and inserts the file below the document currently selected. If an existing file node is selected, the file will be inserted behind this node. Alternatively, one or more files can be dragged and dropped simultaneously (e.g., from Windows Explorer) onto a document node or a file node. When a file is added, it will be uploaded to the server. If the page preview is activated, the previewed images will be generated immediately during the upload. The process may take a few seconds. Depending on how the mask is configured, additional files can be automatically generated and attached to the document. Such a document can be created by converting the format (e.g., to PDF format), or by extracting embedded attachments from an email. | |
| Opens a selection menu of the batches that are available for editing. This button is only available in the context of the Stack Organizer. | |
| Starts the scanning process for new pages with a locally connected scan device. This button is available only if the Web Scan is enabled. The following functions are available:
The dialog contains the main elements for selecting the local scan device and settings for the scanned pages (e.g., color depth, resolution, and brightness). The Automatically align pages option corrects the orientation of pages that have been scanned in skewed. The Show page preview during scanning option causes a preview to be generated immediately for each page during the scanning of a batch, for visualization of the current scanning progress. This preview display might have a negative effect on the speed of the scanning process. | |
| Opens a context menu with functions for the different nodes. Which options are available depends on the type of node and the working mode (Web Scan or Stack Organizer). For more information on the options, see Options in the node context menu. |
The following buttons for navigating in the document batch are available in the footer of the document view:
Button | Description | |
|---|---|---|

| Brings you to the last document in the batch. | |
| Brings you to the previous document in the batch. | |

Options in the node context menu
Batches
Option | Description |
|---|---|
Rename | Gives the batch an individual name. The batch will be transferred to xSuite Interface under this name. Otherwise, an automatically generated name will be transferred to xSuite Interface. If the Web Scan is used, the name defined in the mask definition will be transferred. |
Restore | Resets the batch to its original state. As a rule, the initial state is an empty batch. In the case of the Stack Organizer, the initial state is the state of the batch in which it was loaded from the server. |
Delete | Sets the batch on the server to "Canceled." Then the batch will no longer be available for processing. This option can only be used if the Stack Organizer is active. |
Restore | Returns the batch unprocessed to the server so that the batch can be reloaded for processing. This option can only be used if the Stack Organizer is active. |
The Document
Option | Description |
|---|---|
Delete | Deletes the document from the batch. This option is not available if the document is the only document in the batch. A batch must always contain at least one document. |
Rename | Gives the document an individual name. The document will be transferred to xSuite Interface under this name. Otherwise, an automatically generated name will be transferred to xSuite Interface. If the Web Scan is used, the name defined in the mask definition will be transferred. |
Move up | Moves the document to the place preceding the previous document in the batch. Alternatively, the document can be moved by drag-and-drop. |
Move down | Moves the document to behind the next document in the batch. Alternatively, the document can be moved by drag-and-drop. |
Connect documents | Joins the document with the previous document in the batch and creates a joint document. The files of the document are appended to the files of the previous document. The document itself, including the associated index data, will be deleted. |
Add (empty) scan file | Adds an empty file node to the document. Scanned pages can be inserted into the empty nodes. This option can be used in conjunction with the Add scanned page(s) option (see "File") if new scanned pages are not to be automatically appended to the end of the batch, but inserted in the middle of the batch. This option is available only if the Web Scan is enabled. |
File
Option | Description |
|---|---|
Delete | Deletes the file from the parent document. |
Rename | Gives the file a different name. The file will be transferred to xSuite Interface under this name. Depending on the context, the original file name or an automatically generated file name will be used by default. |
Exclude | Excludes the file from being transferred to xSuite Interface. This functionality applies in the event that only certain file types are permitted according to the mask configuration. The user can override this default. |
Include | Includes the file when it is transferred to xSuite Interface. |
Move up | Moves the file, positioning it before the previous file in the document. Alternatively, the file can be moved by drag-and-drop. This is also possible across document boundaries. |
Move down | Moves the file behind the next file in the document. Alternatively, the file can be moved by drag-and-drop. This is also possible across document boundaries. |
Share document | Splits the current document into two documents before this file starts. One document contains all previous files. The other document contains this file and the files that follow. The first partial document will retain the index data of the original document. The document will count as a new document and must be re-indexed. This option can only be used if the Web Scan or the Stack Organizer is active. |
Connect files | Appends the pages of the file to the pages of the previous file in the same document. The pages of both documents are thus combined into one file. This option can only be used if the Web Scan or the Stack Organizer is active. |
Attach scanned page(s) | Scans additional pages and attaches them to the current file instead of to the end of the batch. This option is available only if the Web Scan is enabled. |
Page
Option | Description |
|---|---|
Delete | Deletes the page from the file. |
Move to the left | Moves the page, positioning it before the previous page in the file. Alternatively, the file can be moved by drag-and-drop. This is also possible across files and documents. NoticeTo move a page using by drag-and-drop, take ahold of the page in the free area to the right of the thumbnail, i.e. not directly on the thumbnail itself. Even if space allows pages to be displayed horizontally next to each other, the anchor points for the target of the page are designed for vertical display when dragging and dropping. Each page will therefore always displayed above and below another page instead of to the left and right of it. |
